Performs administrative and office support activities, handles Accounts Receivable, Collections, Supply Ordering, New Hire On-boarding and Payroll.Job Description:

  • Coordinating various office support services
  • Fielding telephone calls, receiving and directing visitors
  • Word processing
  • Creating spreadsheets and presentations, and filing
  • Use of extensive software skills, as well as Internet research abilities and strong communication skills
    • Purchasing
    • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
    • Maintain electronic and hard copy filing system
      • Perform data entry and scan documents
      • Manage calendar for Managing Director
      • Answer calls from customers regarding their inquiries
      • Prepare and modify documents including correspondence, reports, drafts, memos and emails
      • Schedule and coordinate meetings, appointments and travel arrangements for Manager
      • Creating purchase orders
      • Invoice management and processing
      • Monthly expense auditing
      • Payroll processing
      • Match invoices to work orders and maintain database
      • Process bills for payment
      • Create monthly reports
      • Create work orders and maintain computerized maintenance management system (CMMS)
      • Create invoices for client on billable work performed
      • Go over budget, GL detail, accrue, and reclass monthly invoices when needed
      • Keep track of accounts payable, accounts receivable and filing
      • Performs monthly safety training to office personnel
      • Allocates p-card charges monthly
      • Coordinates meetings, and takes minutes
      • Complete vendor registration when needed
      • Performed invoice audits
      • Ordered supplies
      • Completed new hire paperwork and background checks
      • Submit requests for new laptops, travel cards, purchase cards, and check requests
      • In charge of office billing and processing rent invoice
      • Putting together PowerPoint presentation for management
      • Other duties as requiredRequirements:
        • Previous experience working in an accounting department or equivalent educational knowledge in accounting
        • Data Entry
        • Account Reconciliation
        • Filing
        • Excellent computer skills (Microsoft Word, Excel and PowerPoint)
        • Good commutation skill
