Scope: The Administrative Assistant is responsible for providing administrative support to the EHS department of two manufacturing facilities.ESSENTIAL JOB FUNCTIONS

  • Provides day to day administrative support to the EHS Department
  • Administer monthly EHS training packages to Operations
  • Maintain a filing system for the EHS documents.
  • Assist with EHS KPI data collection and entry to ProcessMap.
  • Interface with vendors regarding daily service, scheduled PMs and special requests
  • Develop and maintain filing system for vendor info, service history, etc.
  • Develop and maintain a current vendor list
  • Reconciling vendor invoices with purchase orders.
  • Assist EHS with quote solicitation and purchasing requisitions
  • Prepare reports for management's review on key performance indicator costs
  • Manage waste manifest receipts and submittals.
  • Maintain Waste Treatment Records
  • Work with Purchasing and EHS Supervisor to optimize chemical ordering practice to avoid waste.
  • Perform other duties as assigned.QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.
    • 2-3 year experience as an administrator with data entry responsibilities.
    • Previous experience working with maintenance, facilities, and/or purchasing a plus.
    • Good computer skills: Microsoft: Word, Excel, and Outlook and ability to learn new skills and tasks as required
    • Excellent written and verbal communication skills.
