Pay Frequency:
The Assistant Director of Online Graduate Programs works as part of the Graduate Business Programs Office team to assist in the retention of graduate business students and enhance the community of scholars in the Leavey School of Business. The Assistant Director works collaboratively within Graduate Business Programs to advise graduate business students to implement academic policy, and develop student leaders consistent with the mission and strategic plan of the Leavey School of Business. The Assistant Director works directly with the online program management provider to coordinate student services for graduate business students.

Academic Support and Records Management.

  • Coordinate opportunities and provide academic advising for new and returning students.
  • Work with the Admissions team to ensure a smooth file transition for matriculated students.
  • Update, maintain, and provide information regarding student academic records (course credits, waivers, transfer credits, holds)
  • Process quarterly academic standing reports to include academic warning, probation, disqualification, as well as Dean's List awards and Beta Gamma Sigma candidates.
  • Process quarterly registration; including but limited to:
  • Monitor enrollment and manage waitlist process during registration period;
  • Determine and meet timelines for all records-related activities
  • Identify areas in which to streamline the process
  • Work with Bursar's Office on various issues related to tuition and fees
  • Assist with graduation and degree conferral
  • Work with each student to ensure degree completion and conferral.
  • Provide information to all degree candidates regarding Commencement events
  • Work with the online program management provider on special items, and projects as needed.

    Student Engagement
    • In coordination with the Senior Assistant Dean, Student Service Programs Team, and Faculty Director(s), develop and implement an appropriate Student Life engagement model consistent with LSB Desired state and University Strategic Plan.
    • Coordinate with the Graduate Business Program team on graduation and other events as needed.
    • Coordinate and support the weekend on-campus "intensives" events for online graduate business students.
    • Lead and coordinate with the Graduate Business Program team on the residency component.
    • Work with the online program management provider and Faculty Director(s) as needed on special cases and situations with students
    • Other duties as assigned.

      • Recommends initiatives and implements changes to improve quality and services.
      • Identifies and determines causes of problems; develops and presents recommendations for improvement of established processes and practices.
      • Maintains contact with customers and solicits feedback for improved services.
      • Maximizes productivity through the use of appropriate tools; planned training and performance initiatives.
      • Researches and develops resources that create a timely and efficient workflow.
      • Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy, and timeliness of all operational functions.
      • Prepares and submits reports as requested and required.
        Develops and implements guidelines to support the functions of the unit.

        1. Knowledge
        • Understanding and supporting the Jesuit tradition of education and a commitment to the fundamental values of service to others, community, and diversity.
        • Knowledge of Microsoft (mail merge), Excel, PowerPoint, PeopleSoft (or similar), and Google Apps for Education (at least familiarity and willingness to learn).
        • Knowledge of working with online students is ideal.

          2. Skills
          • Strong expertise in graduate business school recruiting, application operations, and student life.
          • Exceptional management experience and administrative skills.
          • Demonstrated interpersonal, customer service, written, and oral communication skills.
          • Strong communication and presentation skills; team player.

            3. Abilities
            • Ability to manage complex processes and procedures with attention to detail and accuracy.
            • Ability to exercise sound and appropriate judgment in a challenging work environment
            • Demonstrated ability to cultivate collaborative relationships with internal and external constituencies.
            • Ability to maintain an extremely detailed and high level of confidentiality.
            • Ability to problem solve; organized and flexible with the ability to set priorities.
            • Ability to work with Online students and vendors.

              4. Education
              • Bachelor's degree required.

                5. Years of Experience
                • Minimum 0-3 years of relevant work experience, preferable in higher education
