A. POSITION PURPOSE

The Assistant Director of Athletics Facilities and Operations is responsible for event coordination and management at assigned events, recruiting, training and supervising our student worker pool, oversee and schedule transportation fleet and coordinate the operations of the equipment room. This position will utilize specific work skills, personal judgement, and superior communication skills to ensure a smooth and positive game day operations for our patrons.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Event Management

1. Serve as lead event manager for assigned sports. Direct the operation of the students, adult workers, third party vendors and other personnel.

2. Ensure a safe and pleasant environment for events by supervising crowd control, customer service, visiting team and game official liaison, and pre game and half time event management.

3. Act as a representative of Santa Clara University to patrons, visiting teams and game officials. Utilize discretion and judgment to ensure their safety and positive experience.

4. In the event of an emergency, take charge of the situation and determine the safest course of action.

5. Direct staff to prepare the facility prior to the game and reset the facility after the game.

6. Coordinate with Campus Safety for support at event.

Supervisory Duties

1. Hire, train and manage student staff to ensure coverage in a variety of capacities.

2. Supervise student workers and game assistant staff in the following areas

* Equipment Room (10-12 student workers, approx. 30-35 hours per week) * Game Staff - Student (13-15 workers, approx. 15-20 hours per week) * Game Staff - Game Assistant (3-5 adult workers, approx. 15-20 hours per week) * Daily Operations and Facilities - (2-3 students, approx. 15-20 hours per week)

3. Manage all students to maximize their experience. Create goals and objectives, establish improvement plans or termination plans, if necessary.

4. Manage entire process for hiring student-workers to ensure SCU HR compliance.

5. Manage student worker handbook and guidelines.

6. Monitor adherence to guidelines.

Equipment Room

1. Schedule and supervise student workers to perform laundry and equipment duties.

2. Work with coaches to ensure dependable laundry services for each sport.

3. Ensure that laundry service is completed, personally handling duties when student staffing is unavailable.

Facility Operations Work with Assistant Athletic Director of Facilities and Operations in the following areas:

* Facility planning * External rentals * Summer camps * Concessions

Transportation Schedule and supervise fleet of athletic vehicles for team use. Hire and supervise student workers assisting with transportation to and from destinations. Schedule routine maintenance and cleaning of the athletic fleet.

Other Duties as Assigned Abide by all Conference and NCAA regulations to ensure departmental compliance.

C. PROVIDES WORK DIRECTION

Will oversee student workers and game day assistant staff.

D. GENERAL GUIDELINES

Recommends initiatives and implements changes to improve quality and services. Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices. Maintains contact with customers and solicits feedback for improved services. Maximizes productivity through use of appropriate tools; planned training and performance initiatives. Informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions. Prepares and submits reports as requested and required.

E. QUALIFICATIONS

Knowledge

* Understanding and commitment to the University's vision for intercollegiate athletics.

* Strong understanding of NCAA rules and regulations.

Skills

* Demonstrated positive interpersonal and communication skills, written and verbal.

* Working knowledge of common computer programs including Microsoft Word, Microsoft Excel and email and browser applications.

Abilities

* Ability to work effectively with external constituents particularly with vendors and facility renters.

* Ability to work effectively with internal constituents, particularly coaching staff, senior administrative staff and other University staff.

* Physical activity required. Must be able to lift 50 pounds.

* Capable of working both independently and as a team member; results oriented and a self-starter.

Education

* Bachelor's degree preferred.

Years of Experience

* 3+ years of athletics facilities management experience required, preferably in events or operations.

The work environment characteristics described below are representative of those an employee encounters while performing the essential functions of this job.

* Mostly indoor office environment with windows.

* Outdoor events (games and other events)

* Offices with equipment noise.

* Offices with frequent interruptions.
