At M.A. Polce we thrive when our people thrive. We are currently looking for an executive assistant to be the supportive force that empowers our CEO and the Vice President of Human Resources. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. He/She will have previous experience working in an office environment, performing administrative duties, and providing support to senior management. Essential Functions Maintaining our recruitment plan, utilizing LinkedIn Recruiter Onboarding and educating newly hired employees on HR policies, internal procedures, and regulations Maintaining physical and digital files for employees and their documents and benefits records Assisting with employee engagement plans, getting necessary budget approval, and initiating activities Assist with creation, updating, and applying all HR policies and company guidelines and making sure they adhere to standards and laws initiated by authorities. Providing administrative assistance such as writing, editing, and preparing emails on the executives behalf. Maintaining comprehensive and accurate records Performing minor accounting duties Managing the executives calendar(s) and organizing meetings, including scheduling, sending reminders, and organizing catering when necessary Answering phone calls in a polite and professional manner Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department The Executive Assistant works closely with the VP of Human Resources to ensure that they maintain organized employee files and HR records. Part of their job is to review employee feedback, strategize about HR programs to benefit workplace culture, create job posts for department heads based on their hiring needs and recruit top talent. Skills and qualifications The Executive Assistant should have certain hard and soft skills, including: Knowledge of administrative tasks and responsibilities Excellent verbal and written communication skills Advanced computer skills, typing, including data entry, data processing, communication tools and payroll software Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems Problem-solving skills and resourceful thinking Leadership and coaching skills. Strong interpersonal skills Detail-oriented with excellent organizational skills Strong time-management skills and the ability to organize and coordinate multiple projects at once Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge Ability to keep company confidence Preferences Ability to assist with Corporate Compliance Maintaining Corporate Contract Management with vendors and partners Some accounting and financial background Working experience with QuickBooks Legal Backgroundby Jobble
