Job Description Reports To: Manager or Senior Manager Level Summary: Provide administrative support to the sales team and/or sales management utilizing knowledge of company products, policies, standards, and practices to assure timely and accurate support. You will serve as a liaison between outside sales personnel and customers. Essential Duties And Responsibilities: - Professionally handle incoming phone calls or emails from customers. Respond to customer needs in an efficient and timely manner. Process fax transmissions and e-mails on a daily basis. - Assist the sales team in providing material estimates and quotes ensuring accuracy and timeliness. - Enter sales order upon receipt of purchase orders, submit order acknowledgement to customer, submit confirmation acknowledgement and review order to ensure accuracy. - Track orders daily for commit dates and date changes, inform account manager and customer in a timely manner. - Determine the account manager's preference as it relates to customer correspondence by email. - Responsible for maintaining and tracking customer orders that are will-call, ensure all parties are notified when order is ready. - Answer customer questions regarding pricing, availability, delivery, back orders, specifications, and order placement. - Coordinate with other departments throughout the company on quotes, orders, returns (RMA's), and credits. - Relay customer concerns to outside sales team, assists in the investigation and resolution of minor issues within company guidelines. Escalates larger concerns to more experienced sales team member for resolution. - Review, update and respond to Customer Open Order Reports and revise open orders when necessary in BW. - Maintain current and up-to-date vendor/source product catalogs, with product and pricing information. - Understand and observes all safety procedures and practices in order to prevent injury to self or co-workers; attends periodic safety meetings as required; may recommend changes to improve safety procedures. - Place orders of approved material or product. - Process customer credit card transactions. Ability to comply with ISO 9001 procedures where applicable Education: 2 year degree preferred or 3 years prior experience in sales or sales support in related industry. Knowledge/Skills/Abilities: - Excellent communication skills to effectively communicate across all levels of management. - Excellent composition, grammar and business language. - Demonstrates creativity, flexibility, resourcefulness and detail oriented. - Demonstrate excellent judgment in handling confidential, legal or sensitive information. - Ability to work independently, set priorities and handle multiple tasks with a high level of efficiency. - Demonstrate excellent computer and word processing skills with special emphasis on graphics, presentation and spreadsheet capabilities.
